How we work

From AI pressure to a plan, and from a plan to results.

Most firms don't need more information about AI. They need someone to look at how their firm actually works, decide what's worth changing, and take responsibility for getting it done safely. Here's how that works with us.

Step one

The AI Implementation Plan

The plan answers the questions your partners keep circling: where to use AI, what to do first, what to buy, what happens to client data, and who owns it. It's short, focused, timed around your tax calendar, and built to be implemented.

Listen

Understand how your firm works

●
Conversations with partners, managers, and staff
●
Walkthroughs of the workflows that consume the most time
●
An inventory of your current software and how it's used
●
An honest look at the AI use already happening
Evaluate

Decide what's worth doing

●
Opportunities ranked by business value, effort, and risk
●
Data and security constraints for each one
●
Buy, build, or configure, including features you already own
●
What won't be worth doing yet, and why
Plan

Agree on the path forward

●
A timeline around your tax calendar, with owners
●
Firm guidance for client data, approved tools, and access
●
The expertise each step requires
●
A working session with your partners to make the decisions

What you walk away with: a decision, not a binder. Your partners will know what to implement, in what order, what result each step should produce, what risks it carries, and what it will take to execute.

Built around your tax calendar

Oct – NovAI Implementation Plan

After the October 15 deadline

Nov – DecGuardrails live

Policy, approved tools, existing features unlocked

Jan – AprBusy season, protected

No disruptive changes. Staff use approved tools safely.

May – SepFirst workflow, measured

Implemented when your team has room to adopt it

Step two

Implementation: we handle it

Once priorities are set, the work is ours. You get one contract and one point of accountability instead of coordinating a software vendor, an IT provider, a security consultant, and your own team yourself.

The order of work

01

Guardrails first

An AI use policy, approved tools, client-data rules, and access controls, so the AI already in use becomes safe.

02

Unlock what you already own

Configure the AI features in your tax, practice management, and Microsoft 365 tools before buying anything new.

03

One workflow, measured

Pick the biggest bottleneck, often document intake or prep work. Set a baseline, implement, and measure the change.

04

Roll out and train

Expand what worked to more teams and make sure people actually use it.

05

Quarterly refresh

Tools change fast. We revisit the plan every quarter and add what's now worth doing.

What to expect from us

Clear decisions, clear owners, no surprises.

Most technology projects that stall don't fail on the technology. They fail on assumptions nobody wrote down. We run every engagement to prevent that.

1

Decisions in writing

What was decided, why, and who owns the next step. Every time.

2

Partner time protected

We come to partners for decisions, not for status meetings.

3

Security in the design

Client data handling and access are settled before a tool is turned on.

4

Plain language

No jargon, no hype. If something isn't worth doing, we'll say so.

Common questions

Before we talk

Do you do all of this yourselves?

No, and we're upfront about it. We plan and manage every engagement ourselves. Specialized work like integrations, security reviews, and legal review is done by vetted specialists who work under our contract, our confidentiality terms, and our management. You'll know who is working on your firm, and we're accountable for their work.

Do you sell or resell AI software?

No. We don't sell software or take referral fees from vendors. That keeps our recommendations focused on what's right for your firm, including tools you already pay for.

Will you tell us to use AI everywhere?

No. We start with the work and the business result. Sometimes the right answer is AI, sometimes it's automation or a process change, and sometimes it's "not yet."

Do you need access to our client files?

Not for the AI Implementation Plan. We work from conversations, workflow walkthroughs, and your software inventory. If implementation requires access to client data, we define exactly what, who, and under what controls before anything happens.

Do you replace our IT provider?

No. We work alongside your IT provider and existing vendors, and make sure everyone is working from the same plan.

Do we have to use you for implementation?

No. The plan is written so your team can run it. Most firms find it easier to have one accountable lead, and we're set up to be that.

How much partner time does this take?

We keep it focused: a kickoff, short individual conversations, and a decision session at the end. We'll confirm the specifics for your firm in our first conversation.

Not sure where your firm should start? That's the right place to begin.

Tell us what you're seeing. We'll help you figure out whether an AI Implementation Plan makes sense, or whether there's a simpler first step.
